As a deep-tech engineering firm operating globally, we adhere to strict data protection standards.
2. Information We Collect
We collect information that identifies, relates to, describes, or could reasonably be linked, directly or indirectly, with you ("Personal Data").
- Voluntarily Provided Data: Name, email address, company name, phone number, and project details provided via our contact forms.
- Automatically Collected Data: IP address, browser type, operating system, access times, and pages viewed directly via cookies and server logs.
3. How We Use Your Information
We use the collected data for specific business purposes:
- To facilitate engineering consultations and project assessments.
- To send technical white papers, case studies, or newsletters you have subscribed to.
- To improve website performance and analyze industry traffic patterns.
- To comply with legal obligations and enforce our Terms of Service.
4. Analytics, Cookies and Service Providers
We name below every third-party service that receives data from this website, so that the choices offered by our cookie banner are meaningful.
- Google Analytics 4 (Google LLC) — measures page views and traffic sources. It is loaded only after you accept analytics cookies in our banner; if you decline, no Google Analytics script is loaded and no analytics cookie is set. Your choice is stored locally in your browser and you can change it by clearing your browser storage for this site.
- Google Firebase / Cloud Firestore (Google LLC) — hosts this website and stores enquiries submitted through our contact, newsletter, catalog and ROI-report forms. Records are written on submission and are not readable from the browser.
- Google reCAPTCHA / Firebase App Check (Google LLC) — distinguishes genuine enquiries from automated abuse. It is initialised only at the moment a form is submitted, not on page load, and is subject to Google's Privacy Policy and Terms of Service.
- Google Fonts and cdnjs (Cloudflare) — serve typefaces and icons. These receive your IP address as an ordinary consequence of requesting a file.
We do not use advertising, remarketing, cross-site tracking, or data-broker services on this website.
5. Where Your Data Is Held, and For How Long
Kairospace operates from Nevada, USA, with operations in Argentina and Canada. Enquiry records are held on Google Cloud infrastructure in the United States. If you contact us from outside the United States, your information will be transferred there, where data protection law differs from your own.
We retain enquiry records for 36 months from your last contact with us, after which they are deleted, unless a longer period is required to perform a contract or to meet a legal or accounting obligation. Analytics data is retained for 14 months under Google Analytics' own retention setting. You may ask us to delete your record sooner at any time — see Your Data Rights below.
5A. Customer Portal
Kairospace runs a private customer portal at kairospacetech.com/portal/ (and /es/portal/ in Spanish), where each project has its own project site. This section explains what the portal holds. The rest of this policy applies to it as well.
- Who can use it: customers we invite to a project, the members of their team they ask us to add, Kairospace partners (distributors and resellers) assigned to that project, and Kairospace staff. There is no public sign-up: access exists only by invitation, one project at a time.
- How sign-in works: you sign in with your Google account or with a sign-in link sent to your email address, through Google Firebase Authentication. We do not see or store a password. During email-link sign-in, your browser keeps your email address locally until the link is opened, and Firebase Authentication keeps you signed in using your browser's storage. Both are needed for the portal to work; neither is an analytics cookie.
- What we store: your identity (name, email address and the sign-in provider you used); the projects you have been granted access to; documents and files uploaded by you or by us; messages; your answers to requests we send you; acceptances of documents, with the name given and a timestamp; site readings and maintenance records logged by you or by us; a record of these actions in the project's activity feed; and "last seen" markers that let the portal show what is new since your last visit. Where your organization provides them, its company profile may also hold site addresses and the names, roles, email addresses and phone numbers of its contacts.
- Who can see it: only the people granted access to that project, the partner channel assigned to it, and Kairospace staff. People on one project cannot see another. Access is enforced by the database's own security rules, not only by the portal pages.
- Processor: Google Firebase / Google Cloud (Google LLC) provides sign-in and stores portal records, on the same Google Cloud infrastructure in the United States described in section 5.
- Why we hold it: to deliver and support your deployment — sharing documents, recording decisions, answering questions, and tracking how the system runs.
- How long: for as long as the project account is active. After that, portal records are retained and deleted on the terms set out in section 5.
- Access, correction and deletion: you can ask to see, correct or delete your portal data as described in section 8, Your Data Rights, using the contact details given there.
6. Intellectual Property & Confidentiality
Any technical data or project specifications you share with us for the purpose of a feasibility study are treated as highly confidential. Kairospace employs strict non-disclosure protocols for client engineering data.
7. Third-Party Sharing
We do not sell, trade, or rent your Personal Data to third parties. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners and trusted affiliates for the purposes outlined above.
8. Your Data Rights
Wherever you are, you may ask us to confirm what personal data we hold about you, to correct it, to delete it, or to receive a copy of it. Email legal@kairospacetech.com with the address you used to contact us and we will respond within 30 days.
If you are in the European Economic Area or the United Kingdom, you additionally have the right to object to or restrict processing, the right to data portability, and the right to lodge a complaint with your national supervisory authority. Our lawful basis is your consent for analytics cookies, and our legitimate interest in responding to enquiries you send us.
If you are a California resident, you have the right to know what personal information we collect and how we use it, the right to request deletion, and the right not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA.
